This cookie policy explains what information Calandra stores on or reads from your device, why this happens and how long that information is kept.
This policy covers:
- calandra.be — our public website;
- dash.calandra.be — the Calandra platform;
- book.calandra.be — the booking environment; and
- demo.calandra.be — our demonstration environment.
Calandra is operated by Everloop BV.
We use a limited number of strictly necessary cookies and forms of browser storage. On calandra.be (including www.calandra.be) we also use Vercel Speed Insights, only with your consent, to measure the website's technical performance.
dash.calandra.be, book.calandra.be and demo.calandra.be do not use Vercel Speed Insights or any other analytics.
We do not use advertising trackers, remarketing, session recordings or marketing profiles.
1. What do we mean by cookies?
A cookie is a small text file that a website can store on your device through your browser and read again later.
The applicable rules are not limited to traditional cookies. Other techniques by which information is stored on or read from your device may also be covered, including localStorage, sessionStorage and certain browser APIs.
When this policy refers to cookies or similar technologies, we therefore mean all relevant techniques by which a Calandra service stores information on or reads information from your device.
2. Which categories do we use?
We distinguish between two categories.
2.1 Strictly necessary technologies
These are necessary to provide a feature you have asked for or to make the service concerned work technically.
These may include, for example:
- remembering your cookie preference;
- applying your language choice;
- applying an appearance you have chosen yourself;
- keeping a user logged in;
- security and authentication features;
- temporary access control to a protected environment; and
- storing temporary information locally that is needed to carry out a requested feature.
We do not ask for prior consent for technologies that are genuinely strictly necessary.
2.2 Analytics
On calandra.be we use Vercel Speed Insights to measure how fast and how technically stable the website is for real visitors.
Speed Insights is not necessary to provide the website to you. That is why Speed Insights is only activated after you have given your consent.
If you refuse analytics, the website remains fully available and functional.
3. Your choice and consent
When you first visit calandra.be or the Calandra platform (dash.calandra.be), a cookie notice asks for your choice. On calandra.be, Speed Insights is only activated after you accept.
With two equally visible buttons, you can:
- accept, which on calandra.be switches on Speed Insights; or
- allow only necessary cookies, which keeps Speed Insights off.
Non-essential analytics is off by default.
We do not treat continued browsing, scrolling or using the website without making a choice as consent.
We store your choice in the calandra_consent cookie (see section 4), so that we can respect it and do not have to ask you the same question on every visit. Your choice is stored only in your browser, not on our servers.
The cookie is set for the domain .calandra.be, so one choice applies on calandra.be (including www.calandra.be), the Platform on dash.calandra.be and the demo on demo.calandra.be. If you change it on one of them, it changes on the others as well.
When the retention period ends, or when we materially change what we ask you, we may ask you for your choice again.
You can change or withdraw your consent at any time through the Cookie settings link at the bottom of every page of calandra.be, or in the Platform through Cookie settings in the Settings menu or at the bottom of the sign-in page.
After withdrawal, we stop collecting new Speed Insights measurements for your browser.
4. Public website — calandra.be
The public website calandra.be (including www.calandra.be) uses the following cookies and browser storage. All of them are set by calandra.be itself (first-party) and are strictly necessary or serve to remember a choice you made yourself.

Vercel Speed Insights itself sets no cookies and stores nothing on your device. It is only loaded after you accept analytics (see section 5).
The values described above contain no directly identifying information such as your name or email address. Some values can, however, distinguish a specific browser, session, preference or access status, and are therefore not simply regarded as anonymous.
5. Vercel Speed Insights
5.1 Where do we use Speed Insights?
Vercel Speed Insights is used only on calandra.be (including www.calandra.be), and only with your consent.
Speed Insights is not used on:
- dash.calandra.be;
- book.calandra.be; or
- demo.calandra.be.
5.2 Why do we use Speed Insights?
Speed Insights helps us identify technical performance problems.
We use the information collected, for example, to:
- detect slow pages;
- assess loading times;
- find unexpected layout shifts;
- identify problems with the responsiveness of the interface; and
- assess the technical performance of new versions.
We do not use Speed Insights for advertising, marketing profiling or personalised commercial offers.
5.3 What information is processed?
Speed Insights measures technical information in users' browsers.
According to Vercel's documentation, a data point may include, among other things, information about:
- the URL or technical route;
- the Web Vital measured;
- technical information about the element to which a measurement relates;
- browser and browser version;
- operating system;
- device type;
- estimated network connection speed;
- country;
- the version of the Speed Insights software used; and
- the time of the measurement.
Depending on the browser and the performance measured, not all of this data will necessarily be present in every measurement.
5.4 Identification
Speed Insights is intended for technical performance measurement and not for tracking individual visitors.
According to Vercel, Speed Insights data points are not linked to an individual visitor or to their IP address and are not used to reconstruct a browsing session across different pages.
This does not mean that an IP address is never technically processed in ordinary network communication with our infrastructure.
An IP address may, for example, be processed temporarily in order to:
- establish a network connection;
- route a request to our infrastructure;
- counter misuse or attacks; or
- keep technical server and security logs.
That processing is separate from the content of the Speed Insights data points and is described further in our Privacy Policy.
5.5 When is Speed Insights activated?
On calandra.be, Speed Insights is only loaded after you have consented to analytics.
As long as:
- you have not yet made a choice; or
- you have refused analytics,
the Speed Insights script is not loaded and no performance measurements are sent from your browser to Vercel.
5.6 Retention period
The measurement data available through Speed Insights is kept for 30 days.
After this period, the individual measurement data concerned is no longer available within our regular Speed Insights environment.
5.7 Recipient
Speed Insights is provided by Vercel.
Vercel processes the technical data necessary for this service in the context of the infrastructure services Vercel provides to Everloop BV.

5.8 Legal basis and consent
We ask for your consent in advance for Speed Insights.
You can withdraw that consent at any time through the cookie settings.
Withdrawing your consent does not affect the lawfulness of processing carried out before the withdrawal.
6. The Calandra platform — dash.calandra.be
The Calandra platform does not use Speed Insights or any other analytics. It shows the same cookie notice as calandra.be and shares your choice with it through the calandra_consent cookie (see section 3). At the moment, the Platform uses nothing that depends on that choice: it only remembers it, so the same choice applies if that ever changes. You can change it through Cookie settings in the Settings menu, or at the bottom of the sign-in page.
The Platform uses only the following strictly necessary cookies and browser storage, for remembering your cookie choice, authentication, security, session management and the language and interface preferences you set yourself.

The authentication cookie is set by the Calandra API, the server the Platform talks to. calandra_consent is set for the domain .calandra.be by calandra.be or dash.calandra.be, wherever you made your choice. The other items are stored in your browser by dash.calandra.be itself.
7. Booking environment — book.calandra.be
book.calandra.be does not use Speed Insights or any other analytics either. It uses only the following strictly necessary cookies and browser storage, so that you can find, put together and book an appointment.

book.calandra.be does not show a cookie notice. Because calandra_consent is set for the domain .calandra.be, your browser may also send it to book.calandra.be, but the booking environment does not read or use it.
Because NEXT_LOCALE is set for calandra.be and its subdomains, a language chosen on book.calandra.be can also determine the language of calandra.be.
8. Demo — demo.calandra.be
The demo on demo.calandra.be can only be accessed with a valid invitation. The demo does not use Vercel Speed Insights or any other analytics. Like the Platform, it shows the cookie notice and shares your choice with calandra.be and dash.calandra.be.

The calandra_demo_invite cookie contains no name or email address but is linked to a specific demo invitation. We therefore regard the value as a pseudonymous technical identifier and not as fully anonymous. Acceptance of the demo rules is linked to the invitation concerned, so a new invitation may require acceptance again.
The substantive demonstration data is designed to stay locally in the browser and disappears when you close the tab. Technical network, security and hosting logs are not covered by this.
Temporary working state
While you use the demo, it keeps the same working state as the Platform (see section 6) in localStorage: access-selection, active-staff, calandra-recent-searches, calendar-panel-prefs-v1, calendar-sidebar-collapsed-v1, home-timeline-staff, permission-groups. These items are wiped every time you open the demo in a new tab, so every visit starts with the same demo. Photos you upload that do not fit in the tab's storage are kept in memory only, until you close or reload the page.
Team access
Only for staff of Everloop BV who open the demo with the team code, the following cookies are also set. They are never set for visitors with an invitation.

When a demo link is opened or the demo rules are accepted, our server may also make a limited technical record linked to the pseudonymous code of the invitation.
This server record is not a cookie or browser storage. Its purpose, retention period and further processing are described in our Privacy Policy.
9. What do we not use?
Within the Calandra services described above, we do not use:
- Google Analytics;
- Vercel Web Analytics;
- Plausible;
- Matomo;
- advertising pixels;
- remarketing technology;
- cross-site marketing tracking;
- session recordings;
- heatmaps;
- technology that records your keystrokes or mouse movements for analytics purposes; or
- marketing profiles based on your browsing behaviour.
The only non-essential analytics described here is Vercel Speed Insights on calandra.be, with your consent.
10. Deleting or changing cookies and browser storage
You can change your cookie choice at any time: on calandra.be through the Cookie settings link at the bottom of the page, and in the Platform or the demo through Cookie settings in the Settings menu (or at the bottom of the Platform's sign-in page). The choice applies to all of them.
Withdrawing consent must be as easy as giving it.
You can also delete cookies and browser storage yourself through your browser settings. The exact wording differs per browser, but is usually found under sections such as Cookies and site data, Website data or Clear browsing data.
If you delete certain data:
- Calandra may ask for your cookie preference again;
- your chosen language may need to be set again;
- the appearance may revert to the default settings;
- an active session may be ended; or
- authentication or access may be requested again.
Deleting cookies or browser storage does not automatically delete a Calandra account or personal data processed on our servers for other purposes.
11. Legal basis and your rights
In accordance with article 129 of the Belgian Act of 13 June 2005 on electronic communications, no prior consent is required for placing and reading strictly necessary technologies where the legal conditions for that exception are met.
For Vercel Speed Insights, we do ask for prior consent.
Insofar as personal data is processed in that context, the GDPR also applies.
Depending on the processing and the applicable legal basis, you may have rights under the GDPR including:
- access;
- rectification;
- erasure;
- restriction of processing;
- objection; and
- portability where the legal conditions for it are met.
Where processing is based on consent, you can withdraw your consent at any time.

We do not use the technologies described in this policy for solely automated decisions that produce legal effects concerning you or similarly significantly affect you.
12. Service providers and international transfers
We do not make data from our cookies or browser storage available to advertising networks or other parties for use for their own marketing purposes.
For our infrastructure we use, among others, Vercel.
When you consent to Speed Insights on calandra.be, Vercel processes the technical performance data needed for it.
Infrastructure providers may also process technical data necessary for hosting, security and network traffic in the ordinary provision of our services.
We aim to process our infrastructure and personal data within the European Economic Area as far as possible.
Because certain suppliers use international infrastructure, we do not guarantee that every technical processing operation takes place exclusively within the EEA.
Where personal data is transferred outside the EEA, we or our processors apply the applicable safeguards for international transfers.

14. Changes to this policy
If we materially change which cookies or similar technologies Calandra uses, we will update this policy.
The date and version number at the top indicate which version applies.
If we introduce a new non-essential technology, we will not activate it before the required consent mechanism is available.
Consent given for a particular purpose is not simply used for a materially different purpose.
